This policy explains how PortGate Nexus collects, uses, shares, stores, and protects personal data when you visit our website, create an account, or use our trade-compliance and logistics services.
PortGate Nexus acts as the data controller for information used to operate the platform. This policy is guided by the Nigeria Data Protection Act 2023 and other applicable Nigerian data-protection requirements.
2. Information we collect
Depending on how you use the platform, we may collect:
- Identity and account information, including your name, username, email address, phone number, login records, and securely hashed password.
- Business information, including business name, address, CAC registration number, tax identification number, business type, and trade preferences.
- Transaction and shipment information, including product descriptions, HS codes, invoices, Form M and PAAR references, customs documents, shipment details, supplier information, and uploaded files.
- Payment-related information such as your email address, amount, currency, plan, and transaction reference. Payment-card details are processed by our payment providers and are not stored by PortGate Nexus.
- Support and communications data, including tickets, messages, feedback, and chatbot conversations.
- Technical information, including IP address, device/browser information, page visits, session data, security events, and cookie identifiers.
3. How and why we use information
We process information where it is necessary to perform our contract with you, comply with legal obligations, pursue legitimate operational and security interests, or where you have given consent.
- Create and secure accounts, authenticate users, and provide customer support.
- Perform compliance checks, HS-code classification, duty estimates, risk screening, document review, shipment workflows, and related trade services.
- Process subscriptions and service payments and maintain transaction records.
- Send service, security, verification, and transaction notifications.
- Protect the platform, prevent abuse, monitor reliability, and improve service quality.
- Meet customs, tax, financial, insurance, regulatory, audit, and legal obligations.
4. AI-assisted processing
PortGate Nexus uses automated tools to suggest HS codes, extract information from trade documents, and identify potential compliance risks. These outputs are advisory and may be inaccurate. They should be reviewed by a qualified person before being used for customs declarations or other significant decisions.
We do not intend to make decisions producing legal or similarly significant effects solely through automated processing without appropriate human involvement.
6. International transfers
Some providers may process information outside Nigeria, including through global cloud, email, CDN, and AI infrastructure. Where applicable, we use contractual, organisational, and technical measures intended to protect information transferred across borders.
8. Retention and deletion
We retain information for as long as reasonably required to provide the service, resolve disputes, maintain security and audit trails, and satisfy legal, tax, customs, financial, and regulatory obligations. Trade, transaction, and payment records may need to be retained for extended statutory periods.
You may request deletion of eligible information. Certain records may be retained where deletion would conflict with a legal obligation, active transaction, fraud-prevention requirement, or the rights of another person.
9. Security
We use role-based access, authentication controls, encryption in transit, secure password hashing, access restrictions, and infrastructure security measures. No online service can guarantee absolute security, so users must also protect their credentials and notify us promptly of suspected unauthorised access.
10. Your privacy rights
Subject to applicable law, you may ask to access, correct, delete, restrict, or obtain a copy of your personal data; object to certain processing; withdraw consent; or challenge qualifying automated processing.

11. Changes and contact
We may update this policy to reflect changes in the platform, our providers, or applicable requirements. Material changes will be communicated through the platform or other appropriate channels.
